Information we collect and how we use it
Enquiries
If you contact us, we may collect your name, email address, organisation or affiliation, and any information you include in your message. We use this to respond and keep a record of the correspondence. We normally rely on our legitimate interests in communicating with people who contact us; where an enquiry relates to taking steps towards a contract, we may process your information for that purpose instead. We do not use enquiry information for marketing.
Recruitment
If you apply for a role, we collect the information you provide, such as your contact details, CV, qualifications, employment history and correspondence with us. We use this to assess applications and manage recruitment, relying on our legitimate interests in recruiting staff and, where applicable, taking steps at your request before entering into an employment contract. We do not use solely automated decision-making to make recruitment decisions.
Website operation and analytics
When you visit the website, limited technical information may be processed to deliver, secure and understand use of the site — for example your IP address, device or browser information, and request logs. We rely on our legitimate interests in providing, maintaining and securing the website. Our analytics does not use cookies or similar browser storage to track visitors, and we do not use analytics for advertising, behavioural profiling or cross-site tracking. We do not use advertising or marketing cookies.
International processing
Some of our service providers operate internationally, which may involve personal information being processed outside the UK. Where UK data protection law requires safeguards for an international transfer, we use an appropriate safeguard recognised under UK law. How long we keep information
We retain personal information only for as long as reasonably necessary for the purposes for which it was collected.
- Enquiries: up to 12 months after our last substantive communication.
- Unsuccessful job applications: up to six months after the recruitment process ends. If you join TimeTrace, relevant information forms part of your employment records instead.
Information may be retained for longer where reasonably necessary to comply with legal obligations or establish, exercise or defend legal claims.
Your rights
UK data protection law may give you rights over your personal information, including rights to request access, correction or deletion, restrict certain processing, object to processing based on legitimate interests, and, in some circumstances, receive your information in a portable format. Not every right applies in every circumstance.
